Admin Executive, Counselling & Social Services

We are seeking a highly organised and proactive Admin Executive to join our Counselling & Social Services Department. The incumbent will be responsible for providing administrative and counselling support to the team, be the primary point of contact for public enquiry, ensuring the smooth operation of daily activities, and maintaining a welcoming environment for clients.

 

Duties and Responsibilities

  • Manage the daily administrative tasks of the department, including scheduling appointments, attending to service phone calls and email enquiries, as well as compilation of the department monthly and statistic reports
  • Conduct phone intake of information & referral for new clients
  • Maintain client records and confidential information in compliance with PDPA guidelines
  • Coordinate clinical supervision and attend group case discussion, ensuring all case notes are submitted and filed on order
  • Facilitate inter-department projects and collaborations
  • Assist with volunteer counsellor and/or intern recruitment and retention
  • Manage welfare and well-being of all counsellors and volunteers
  • Assist with the monastery events when required

 

Job Specifications

  • Qualification: Diploma in Business Administration/Management or relevant discipline
  • Required Knowledge/Skill(s): Good organizational skills with the ability to manage multiple tasks and priorities effectively, Ability to maintain confidentiality and handle sensitive information with discretion, Proficiency in Microsoft Office Suite
  • Language(s): Bilingual in English and Mandarin with strong communication and interpersonal skills to manage English/Mandarin speaking clients
  • Able to work on weekend(s)

EXECUTIVE, BRIGHT YOUTH

The department aims to bring together and bond with the youths through a slew of fun and exciting activities and programmes while empowering them to explore their potential and interests.

 Duties and Responsibilities

  • Develop and organise youth activities, enrichment workshops and other outreach programmes
  • Explore potential collaboration opportunities with other organisations for more youth engagement activities and programmes
  • Handle volunteer and stakeholder management
  • Constantly improve the activities and programmes to reach out to more youths
  • Support and facilitate the department administrative duties and responsibilities
  • Support Monastery events and activities

 

Job Specifications

  • Qualification: Diploma in any discipline or equivalent
  • Language(s): Bilingual in English and Mandarin to communicate with both English and Mandarin-speaking stakeholders
  • Required Knowledge/Skill(s): Planning and coordination skills, Communication and interpersonal skills, Proficient in MS Office, Ability to multi-task and work within time frame with minimal supervision
  • A team player with positive work attitude

STORE CUM RETAIL ASSISTANT

Duties and Responsibilities

  • Perform store duties such as receiving, checking, storing and delivery of goods etc.
  • Maintain the cleanliness of the prayer items such as cleaning the containers of butter lamps etc.
  • Support general duties to ensure smooth running of daily retail operation
  • Provide counter sales and attend to customers’ enquiries
  • Liaise with volunteers for flower arrangement and provide the related logistic support
  • Ensure workplace safety and environment cleanliness

 

Job Specifications

  • Min. GCE “O” Level with 1 year of relevant working experience
  • Friendly and cheerful disposition. Good team player with meticulousness and high level of integrity
  • Good communication and Interpersonal skills
  • Able to work on weekend(s), public holiday(s) and irregular working hours
  • Possess the knowledge of POS (Point of Sales) machine will be an added advantage
RETAIL ASSISTANT (PART-TIME)

Duties and Responsibilities

  • Perform general duties to ensure smooth running of daily retail operations
  • Provide counter sales and attend to customers’ enquiries
  • Assist in receiving, checking and storage of delivered goods
  • Liaise with volunteers for flower arrangement and/or other event duties
  • Assist in inventory control and management
  • Ensure workplace safety and environment cleanliness

COOK (ASIAN CULINARY, FULL-TIME / PART TIME)

Duties and Responsibilities

  • Prepare daily vegetarian meals according to recipes
  • Assist in managing F&B store and inventory replenishment
  • Support the kitchen operations during the monastery events and activities
  • Maintain the cleanliness & hygiene of the kitchen and nearby areas
  • Comply with workplace safety and health guidelines

 

Job Specifications

  • Qualification: Higher Secondary/Profession Certificate/NiTEC in F&B field
  • Year of Experience: At least 2 years of relevant experience in F&B field
  • Required Knowledge/Skill(s): Culinary skills, communication and interpersonal skills
  • Team player with positive attitude
  • Possess Food Safety Level 1 certificate
  • Able to work on weekend(s), public holiday(s) and irregular working hour(s)
